Frequently asked questions
Straight answers about how Crewdesk works today. If yours isn't here, our team will help.
Getting started
Signing up, inviting your team and finding your way around.
What is Crewdesk?
One workspace for your team's tasks, conversations, lead capture forms, calls and notifications. It runs in your browser today, and a mobile app for iPhone and Android is coming soon.
How do I create an account?
Sign up with your email address. You don't need a card, and you can start a workspace in a couple of minutes.
How do I bring my team in?
Invite people by email. Each person has a role (Admin, Member or Guest) that decides what they can see and change. Inviting an address never shows whether it already has an account.
Will new people see every project straight away?
No. Joining a workspace gives someone the workspace and nothing more. A project only appears for a person once they've been added to it.
Can I use Crewdesk on my phone?
Yes. The web app works in any phone browser: the board scrolls sideways and the calendar becomes an agenda. The mobile app is in testing now.
Which views can I use?
Board, list and calendar. They're three ways of looking at the same tasks, so moving a card on the board updates the list and the calendar at once.
Can I share exactly what I'm looking at?
Yes. Filters, sorting, grouping and the task you have open are all kept in the link. Paste it to a teammate and they see the same view.
What is My Tasks?
One list of every task assigned to you, across every project you can see, grouped by when it's due. It's in the web app and the mobile app.
Can a task repeat?
Yes, daily. Crewdesk creates a fresh copy each day. Days you miss aren't filled in afterwards, so duplicates never pile up.
Who can edit a task?
Its creator, its assignees and admins. Guests can read tasks but never change them.
Who hears about a new comment?
The task's creator, its assignees and anyone you @mention. Nobody is notified about their own actions.
What's the difference between channels, group chats and DMs?
Every project has its own channel, open only to people on that project. Group chats are for a few people, whatever project they're on. Direct messages are one to one.
Can I reply without cluttering the channel?
Yes. Reply in a thread and the discussion moves to its own panel. The original message shows how many replies it has.
Can I edit or delete a message?
Yes, your own. An edited message is marked as edited, and a deleted message disappears for everyone.
How large can attachments be?
Up to 10 MB per file. Files are kept in private storage and only open after a check that you're signed in and allowed to see them.
Does search show me everything in the workspace?
Search covers tasks, messages and comments, but only ones you're allowed to see.
What happens when someone fills in a form?
The submission becomes a task on your board. The answers go into its description, it's marked “Created via form”, and your admins are notified.
How do I put a form on my website?
Four ways: a shareable link, an iframe, plain HTML you can restyle, or HTML with a small script that keeps visitors on the page. The first two need no code.
Do visitors need an account?
No. People filling in your form never have to sign up or sign in.
How do you keep spam out?
Every public form has a hidden honeypot field and a limit on how often one address can submit.
Can I export submissions?
Yes, as a CSV file with the questions exactly as they were asked. One export holds up to 5,000 submissions.
Calls and notifications
Audio calls, video meetings and how Crewdesk reaches you.
Read about NotificationsCan I make calls in Crewdesk?
Yes. Start an audio call or a video meeting from any channel or direct message in the web app, or schedule a meeting ahead of time.
Who can join a call?
Only members of the channel or conversation it starts in. A call is as private as the place it was started.
Will I be reminded about a meeting?
Yes. You're notified when you're invited and reminded ten minutes before it starts, then join with one click.
Where will notifications reach me?
In your inbox in the web app and the mobile app, and as push notifications: every kind can reach your phone, subject to your switches, and direct messages, mentions and calls reach your browser.
Can I turn some notifications off?
Yes, each kind on its own: assignments, mentions, comments, direct messages, channel messages, due dates, form submissions, and calls and meetings.
When will the mobile app be available?
It's in testing now. We'll announce the launch on the Mobile app page and in What's new.
Which phones will it run on?
iPhone and Android phones.
Do I need a separate account?
No. Sign in with the account you use on the web. Your projects, conversations and settings are the same in both apps.
Can I join calls from the mobile app?
Not yet. Calls and meetings are in the web app. On your phone, a call notification opens the conversation it belongs to.
Who can see my projects?
Only the people who have been added to them. To everyone else, a project you can't see behaves exactly like one that doesn't exist.
Are my files private?
Yes. Attachments are kept in private storage, and every download checks that you're signed in and allowed to see the file.
Where is my data stored?
The Crewdesk app and its database run in the United States. Live updates, calls and push notifications go through the providers listed in our privacy policy.
Do you remove location data from photos?
Yes. Profile photos are saved with location and camera details removed.
How do I report a security issue?
Please tell us privately before sharing it anywhere else. The Security page explains how.
How much does Crewdesk cost?
Nothing during early access. Every feature is included for everyone in your workspace.
Do I need a card to sign up?
No. An email address is all you need.
What happens when paid plans arrive?
We'll tell everyone well in advance, by email and in What's new, before anything changes.
Are there any limits?
A few that come from how the product works: 10 MB per file, 2 MB for a profile photo, up to 500 tasks in one view and up to 5,000 submissions in one CSV export.
